Help & User Guide
Use your own club account to sign in. If the installed app cannot verify current access, use Retry current access. A connection warning may also indicate a server problem; it does not necessarily mean your phone is offline. Club and team information is shown only when your current approved access permits it.
Using the app means you agree to the Terms of Use ↗: be respectful, keep to club business, never post children’s details or other people’s photos without permission, and report anything that worries you. See also the Privacy Notice ↗.
Safeguarding: any worry about a child’s safety or welfare goes privately to the club’s Children’s Officer, never to a team group; if a child is in immediate danger call 999. Contacts and the club’s commitments are on the Safeguarding page ↗.
Test and demo accounts
App Administrators can mark an account as test/demo from People & Roles. These accounts can connect only to the hidden Test Team, never real club teams. Changing this flag revokes existing team connections and cancels pending requests; removing it does not restore previous access. The Test Team has no fixtures, results or club alerts. Club Management also lets an App Administrator publish an Important notice with an end date and time; it shows at the top of club app pages for signed-in members (and under Club Activity → Notices in the iPhone app) until it ends.
Signing in
The club app uses your email address and password, on the website and in the iPhone app. New members create an account, confirm their email using the link sent to them, then sign in. If you previously used Google or Facebook to sign in, choose Forgot password on the sign-in page and use the same email address once to set a password; your roles, teams and messages stay the same.
Home and navigation
Home starts with a compact welcome showing your approved role. Work awaiting your review appears only when your current permissions allow you to decide it. The Fixtures & Results card uses the combined official and club-entered fixture feed and shows the next fixture and latest result for your teams (or for the whole club if you are not connected to a team yet), followed by a compact Messages shortcut with your authorised unread count. Club Activity then shows four upcoming saved-calendar events first, with Show all and the existing summary cards. Pitch Bookings appears on Home only when you can make or review a request. My Team and Club Diary remain in the unchanged bottom navigation instead of being repeated as large Home shortcuts. Profile stays available from the header. The optional Get started card links to missing contact details, team access and device-alert setup without granting any permission or annual membership; Later and Not needed dismiss only that account/device reminder.
Choose a design
You can change how the app looks. Open More → Choose a design (or Choose a design here) and try any of twelve designs: Design 6 (the default: your club day and week in time order, with a floating menu), Design 7 (a club hub of tiles, with a crest button in the middle of the menu that opens everything), Design 8 (your chat groups first, like WhatsApp), Design 9 (My Family: a card for each child with their next session), Design 10 (Ask the Club: a question box and quick answers), Design 11 (Team Spaces: a big card per team), Design 12 (Club Stories: team story circles and a big result card), Big Buttons (six big buttons and larger text), Simple List (one tidy list, like the iPhone Settings app), Matchday (bold club colours with the next match up front), Full Dashboard (every feature on one screen) and Classic (the original look). Each design changes Home, the menu and the style of every page. Your choice is saved on that device only, so the website and the iPhone app can each have their own, and you can switch at any time. When the club opens a vote, an “app design” poll in a club group, the same page shows the votes and lets you vote for your favourite.
Club Diary
Every signed-in member sees all saved Side Pitch activity, showing which team or event is using the pitch. Club Diary opens as a rolling seven-day list beginning today. Previous and Next move exactly seven days; Today returns to the current date, and Start date opens any chosen seven-day period. It combines fixtures, training, meetings and read-only facility activity in compact chronological cards. Empty facility time is not shown. Calendar activity comes from one shared server-saved copy, so opening the page does not contact or wait for Google. Last updated shows the most recent successful refresh in UK local time. If refreshing fails, the last good diary remains visible with an out-of-date warning.
Fixtures and Results
Fixtures & Results combines verified Foireann data, when available, with fixtures entered by authorised club staff. App Administrators, the Chairperson, Vice Chairperson and Secretary can manage any team; managers and coaches can add, edit, cancel and record results only for their own teams from Club Management or the native Fixtures & Results screen. Club records are labelled “Club entered”. If matching Foireann data arrives for the same team within three hours, the official record is shown instead. Ordinary members can view fixtures but cannot change them.
Directions
An upcoming fixture with a venue has a Directions link. It opens Google Maps outside the app using the venue supplied with the fixture. Results and fixtures without a venue do not show the link.
League tables
League tables are kept by the county boards: the League tables buttons open the official county board pages for the club’s teams.
Refunds
If the club cancels an event you get a full refund to your card within 10 working days. If an event moves date your ticket stays valid, or ask for a refund before the new date. Otherwise tickets aren’t normally refundable, but you can ask: the club may refund or transfer a ticket at its discretion. For registrations, camps and fees, ask before the start date; after that it’s at the club’s discretion. Raffle tickets can’t be refunded unless the draw is cancelled. Mistakes, such as being charged twice, are always refunded. Email the club Treasurer with your name and the email you paid with. The full policy is in the Terms of Use ↗. A weekly Club Lotto is run on its own licensed service under its own terms.
Add fixtures to your calendar
Open Fixtures & Results and choose all club teams or one team. The Team list shows your own teams; if you are not connected to a team yet, it shows every club team. Use iPhone / Mac, Google Calendar / Android, or copy the calendar link. Your calendar updates automatically, but changes can take a few hours to appear. A calendar subscription does not send alerts.
Pitch Bookings
The schedule is read only and comes from the shared server-saved Google Calendar copy. All facilities is the default tab and shows every booking in time order; Training Pitch, Hall, Gym and Side Pitch tabs filter the same weekly timetable. Each booking has a facility name and colour edge. Select a date or move exactly one week with Previous and Next. When adding an event in Google Calendar, give it the facility’s colour or put the facility name in its title. Blank space, missing data or an app-approved request is not confirmation that a facility is available; the saved copy may be out of date, so the Facility Booker must check Google Calendar. Authorised coaches and managers can request any facility; Side Pitch also offers Full, Half A and Half B. Submission creates a pending request, not a booking. A Facility Booker records approval or decline with a required comment, and the coach receives the facility, date, time and that message in their alert. An approval is shown as “Approved. Add to Google Calendar manually” until it is added to Google Calendar and the next successful scheduled sync updates the display. The app never writes to Google Calendar and does not render app requests as confirmed calendar blocks. Repeat requests: choose Repeat to ask for the same facility, time and length every week for up to 26 weeks in one go; any week that clashes with an existing request is skipped and listed. The Facility Booker can approve or decline all the pending weeks together (Apply to all pending weeks) or one week at a time, and the coach gets one alert for the series. Cancel this week or Cancel all upcoming weeks stops the rest of a series. The facility comes from the Google Calendar event’s colour: red is Gym, yellow is Hall, blue is Training Pitch and green is Side Pitch. If the event has no colour of its own, a Location or event name that says Side Pitch, Training Pitch, Hall or Gym is used instead; otherwise it shows on the Side Pitch. The app uses the same colours. Repeating events appear every week. Facility hire for outside groups: other clubs, schools and groups can ask to hire the Training Pitch, Side Pitch, Hall or Gym from the club’s public Hire page (/hire), without an account. It shows only the free times for a facility on a chosen day (never who is using the rest), the price an hour and any hire terms. They give their name, email, optional phone, group and what it is for, and get a private link to their request. The Facility Booker gets an alert and reviews it in Pitch Bookings → Facility hire for outside groups: Approve (the price is filled in from the hourly price and can be changed) or Decline with a message. Approval checks the time is still free. Once approved, the person opens their private link and pays by card on Stripe’s secure page, straight into the club’s Stripe account, and the Facility Booker is told it is paid. Add paid hires to Google Calendar yourself, as with team requests. Cancel hire is there if plans change; refund a paid hire in the club’s Stripe account. On the website, Facility Bookers can switch hire on or off, choose which facilities are offered, set prices an hour, set the minimum notice and add hire terms. To stop spam, one place can send up to 3 requests a day. The hirer’s contact details are removed 12 months after the hire date.
Coaching & Resources
Choose More → Coaching & Resources for football coaching and parent guidance. It opens the public club website separately in a new tab on the web, or in the in-app browser on iPhone. This guidance is available without paid membership or club approval to signed-in users who can already open More. It is separate from private Club Resources and does not grant access to internal messages or restricted files.
Club Resources
Club Resources is a private, read-only document area under More and Club Activity. The Member, Parent and Coaching hubs shown to you are based on your current approved roles and teams. Search results and every file open are checked again by the server; copying a document address does not bypass access. PDF viewing and Word downloads are available on the signed-in website, while the native app lists the same authorised metadata and official external links. Common documents are stored once and may appear in several hubs. Archived documents stay hidden unless Show archive is selected. Recently opened stores document identifiers on your device only. Resource files follow the club retention review shown in their metadata; removing a role or team removes future access without changing the underlying club record.
Club Activity
Club Activity shows the next four saved calendar events as compact date cards, with Show all and Show fewer controls for the remaining events and a link to the full Club Diary. Fixtures, shared files, polls, volunteer rotas and notices appear as compact summary cards showing how many items are available and a useful preview. The Fixtures & Results card shows the next team, date and time before it is opened; use View all fixtures or Hide fixtures for the full list. Section shortcuts and notification links open the relevant section directly. Club Resources remains available below them. The saved calendar is read only, does not contact Google when opened and does not expose attendees, organiser email addresses, meeting links or private descriptions.
Messages
You can share up to 40 photos or files a day. Private message to the coaches: a parent can open Messages and choose Message [team] coaches to start a private conversation about their child’s team. Only that parent and the team’s managers and coaches can see it (never other parents), so it is never one-to-one with a single adult. Coaches reply but cannot start these conversations, and polls and scheduled messages are not used there. Messages can be reported like any other and are kept for 12 months. Reactions: press React under a message and choose 👍 ❤️ 😂 😮 🙏 or ✅ (like WhatsApp). Anyone who can read the group can react, including parents in team chats. Press your reaction again to remove it, and hover over a reaction to see who reacted. Reactions don’t send alerts. Photos and files: tap the paperclip in a chat to send a photo, PDF or text file (up to 5 MB). On iPhone, the first time you take or choose a photo the phone asks to let the app use the camera or Photos; tap Allow. Files sent in a group also appear in Club Activity → Shared files for everyone in that group. A small photo circle appears beside each sender in chats and beside whoever shared each file in Shared files; it shows their photo where you are allowed to see it, otherwise their initials. Polls in chats: in a team group, the team manager or coach can tap Create a poll (Executive members can do the same in club groups). Quick start offers the team's upcoming matches and training with Yes / No / Maybe already filled in; every poll needs a closing time (marked *), which stops answers. Everyone in the group can answer once per account and change their answer until the poll closes, and can add a short reason (for example why they said No). Members see the totals; the manager or coach also sees who answered what, any reasons, and who has not replied. The Messages menu shows a red number when you have unread messages. Polls also appear in Club Activity. Inside a group, messages read top to bottom with the newest at the bottom, next to the message box; the group opens at your first unread message, or the newest one. With more than 5 unread it opens at the newest message instead, with a ↑ unread button to go back to the first one you haven’t read. In the installed app, filters and channels are collapsed above the list so messages remain the primary view. Expand them to choose Unread or another permitted channel. Opening a channel marks its messages read automatically. Schedule for later is available only while the club scheduler is configured. Scheduled announcements are published by the club service at their chosen time; nobody has to open Home or Pitch Bookings first. If a scheduled message is more than 30 minutes late, its sender and administrators see a warning. The sender’s authority is checked again before publication, and each recipient’s current access is checked before an alert is delivered or opened. Open on a notification takes you to its permitted message, notice, approval, role, diary event, poll or volunteer rota and marks the notification read. Existing archive, deletion and safety controls remain available where your access allows them. Answering a poll marks its New poll alert as read, and opening a group marks that group's message and poll alerts as read in your Notification Inbox. The person who created a poll can answer it too. You are never alerted about something you did yourself (your own message, poll, rota, diary event, fixture or notice). To stop a group being flooded, each person can send up to 20 messages a minute. When you send a message it appears straight away, faded, with “Sending…” under it, and becomes a normal message once the club server has it; if it can’t be sent it says so and you can tap to try again. Groups are listed with the most recent message at the top, like WhatsApp. Reply, edit, mute, @mentions, search and Seen by (like WhatsApp): press Reply under a message to quote it above yours; tap the quote to jump to the original (a deleted original shows as Message deleted). You can edit your own message for 15 minutes after sending it; it then shows (edited). The first version is kept only so a reported message can still be checked, and is removed if the message is deleted. Alerts in a group lets you mute that group’s phone alerts for 8 hours, a week or until you turn it back on; the Notification Inbox still lists them, and you still get an alert when someone @mentions you. To mention someone, press @ Mention (the @ button in the app): a search box opens above the message box; type part of their name to narrow a big group, then pick them. You can also type @ and their full name. They get a “You were mentioned” alert. The list shows everyone in the group with an app account except you. Search finds messages in the group you are in (at least 2 letters) and works like Find in a web browser: it goes straight to the newest match with the word highlighted, shows “1 of 7”, and the ▲ / ▼ arrows (Older / Newer on the website) step to the next match, loading older messages when needed. List (Show all matches on the website) shows every match at once. Deleted messages and people you have blocked never appear. Seen by appears only under your own messages and lists who in the group has read up to that message.
Email copies, sponsors and Facebook
Email copies: open Profile & Settings → Email copies and tick the alerts you also want by email: payments, receipts and missed payments; important club notices; and when someone @mentions you. Copies go to your sign-in email address within about 5 minutes, only for alerts that arrive after you turn them on, and each alert is emailed once. Alerts still appear in your Notification Inbox. Only the alert’s short message and a link to the app are emailed. The club’s email service (Resend) receives your email address only to deliver them. Untick a choice to stop it. Email copies start once the club switches them on.
Our Sponsors: Home shows Thanks to our sponsors, and More → Our Sponsors lists every sponsor with their logo, a short line and a link to their website. The Chairperson, Vice Chairperson, Secretary, Treasurer or PRO add, change, hide (keep for next season) or remove sponsors on the website under More → Our Sponsors → Manage sponsors, with a JPG, PNG or WebP logo under 2 MB. Sponsor details and logos are public, so only add what the sponsor is happy to share. Main sponsors show first.
Post to Facebook: the Chairperson, Vice Chairperson, Secretary or PRO can open More → Post to Facebook, write a post (results, fixtures, events, fundraising), optionally add a link, and post it to the club’s Facebook Page. Start from fills in an open club event or fundraiser. You confirm before anything is posted; posts are public, so never include children’s names, photos of children or anything private. Recent posts lists each post, who sent it and a link to it on Facebook; the list is kept for 12 months. Posting starts once the club’s Facebook Page is connected.
Coach compliance
Coach compliance (Children’s Officer, Chairperson, Vice Chairperson and Secretary): More → Coach compliance lists every team manager and coach with green (up to date), amber (runs out within 60 days) or red (missing or expired). Every coach needs valid vetting (Garda vetting, or AccessNI paid or voluntary – any one) and Safeguarding 1. To update everyone, export the Members report from Foireann as CSV and choose it under Update from Foireann on the website. The file is read only on your device and never uploaded. Coaches are matched by their saved Foireann membership number, or by exact first name, surname and date of birth; you check the list and save. Only the completed/not completed answers and expiry dates for vetting and Safeguarding 1, 2 and 3 are kept; delete the export afterwards. Edit lets you change someone’s dates or add their coaching course level (Foireann’s export doesn’t include it), and Remove their dates clears them. Coaches get a reminder in the app when their vetting or Safeguarding 1 is within 60 days of running out and again if it expires, and the compliance officers get one summary a week. Each coach sees only their own dates, under Profile & Settings → My vetting and safeguarding; if something is wrong they update it on Foireann and tell the Children’s Officer. Updating from Foireann and editing are done on the website; the iPhone app shows the list.
Membership, roles and annual setup
More than one role: one person can hold several roles at the same time, for example Team Manager of two teams, Coach of another and a parent on a fourth. Each role is added separately (invitation, request or Assign an additional role) and each can be removed on its own. Inviting someone to a role (Chairperson, officers and anyone who can approve that role): 1. Open Club Management → Invitations (on the website, or More → Club Management → Invitations → New invitation in the iPhone app). 2. Enter the person’s full name and email address, choose the role (for example Team Manager, Coach or Committee Member), the team if it is a team role, and the title for an Executive role. Add term dates if needed, then Save invitation. 3. The app does not send an email: tell the person yourself and ask them to sign in, or create an account, on the club website or in the iPhone app using that same email address. 4. Once their email is confirmed and they sign in, the role is added automatically. An invitation lasts 7 days; if it runs out, create it again. It only works with the exact email you entered. You can cancel a pending invitation from the same list. Already has an account? Open People & Roles, search their name and use Assign an additional role; it takes effect straight away. Parents and players: team managers and coaches share a team join link from My Team, and approve the requests. Team join links: a team manager or coach can open My Team and use Invite parents and players to create a join link and team code, share it in the team group, make a new one or turn it off. Anyone who uses the link or enters the code on the Roles & Teams page (or in the app) gets a request for that team already filled in (Parent / Guardian, or Player for adult teams); the manager or coach still approves every request. Only one link per team works at a time. Verified sign-in, an approved team connection, club membership and a club role are separate. A parent can use an approved child-team connection without annual membership. Annual or life membership permits Club Members announcements; life membership does not expire in the annual reset. Membership means the club status recorded in this app, not a payment confirmation, and it does not change Foireann/GAA records. Approved Executive members grant or review membership. A mistaken life-membership entry must be referred to an authorised Executive for a reviewed correction; the app does not invent an automatic life-membership cancellation rule.
The Technical Administrator manages technical, account and security controls and may appoint or replace the Chairperson, Vice Chairperson and Secretary, but cannot also hold ordinary executive, committee, manager, coach, parent, player or volunteer roles and does not automatically see private club conversations. The current Chairperson, Vice Chairperson or Secretary appoints other Executive and Committee roles and team officials. The Coaching Officer can also approve team manager, head coach and coach requests for any team. Managers and coaches can approve parent/player connections only for their own authorised teams. Annual Club Setup shows a preview and requires confirmation before annual memberships or annual staff assignments are reset. It preserves life membership, the Technical Administrator, Chairperson, Vice Chairperson, Secretary, accounts, messages and guardian links.
Foireann Planner (Executive Committee)
Only approved Executive Committee members see this, under Club Management → Foireann Planner (website) or More → Foireann Planner (iPhone app). It prepares Foireann’s Bulk Upload Members files for people the club has already accepted and confirmed. It does not take membership applications or payments, never logs in to Foireann and never creates Foireann logins. Two separate paths: A. Renewals of existing Foireann records: the person’s exact 7-digit Foireann ID must be found in this season’s Foireann member export. B. New Foireann profiles: only if Settings allows the club to create them (off by default, so adults first create or use their own Foireann account), only after the person was checked against this season’s export with no possible match, and only after an officer ticks that they have no existing Foireann record (including unverified or unregistered ones). People are never matched on name alone. Settings: the season (year), the usual county and the new-profiles switch. Association is always GAA. Verified with Foireann: Foireann Support has said (29 Oct 2026) that IMPORT registers an existing member whose membership number is in the Identifier column, that the Country list only has Ireland or Great Britain, and that each results row includes the Identifier (membership number), forename, surname and date of birth. Still to confirm: which of the two Country options Northern Ireland members use, and which Member Action creates a new profile in the bulk upload file and whether that also registers them. The Registrar confirmed life members use FULL. Each answer is recorded in the planner with where it came from. Each answer must be confirmed by Foireann Support (or a successful test upload) and recorded with a short reference (source, date and ticket number only, never the email itself or personal details); the exact question to ask is shown beside each one. Until then, anything that depends on it stays out of the files: renewals need the renewal Member Action and Country; new profiles also need their own Member Action; life members need the Registrar’s confirmed type. Steps: 1. Check the export: download the Members Report on Foireann (Administration → Reports → Members Report → Export CSV) and choose it on the website; it is read in your browser only and not saved. The first time, choose which column holds each item, check them against a made-up sample file and save the layout; after that only files with exactly those headings are processed. Decide any possible matches, then Record this check. Delete the file afterwards. 2. Confirm each person: open them, set How they pay the club (annual, monthly or life member), tick if the club pays their Foireann fee, tick The club has accepted them and confirmed their membership and payment for the season, and complete the details (names, gender, address, membership type, player, and parental consent for under-18s). Life members are never given a membership type automatically: check with the Registrar. 3. Preview and download: shows how many renewals and new profiles are ready, who is left out and why. The renewals file and the new-profiles file are always separate, up to 1,000 people each. The same person twice (same names and date of birth) is left out. The Registrar uploads each file on Foireann under Membership → Members → Bulk Upload Members. 4. Import the results: choose the download it belongs to and the results file Foireann gives back (its column layout is checked and saved the first time). You match every results row to a person in that download yourself; the app only suggests a match when the 7-digit ID or the exact names and date of birth agree, and nothing is recorded until you tick that you have checked every match. Rows you aren’t sure about stay Not matched: check those people on Foireann. SUCCESS means registered (a new profile’s Foireann ID is linked). FAILED keeps Foireann’s reason so it can be fixed. IGNORED: Foireann’s guide says the member was already registered, so check their current-season registration on Foireann; the app doesn’t count it as its own registration. Recording the same results again is safe. Duplicates: Foireann’s bulk upload guide warns: “Please be aware that using the bulk upload feature carries a risk of creating duplicate member records within your club.” That is why renewals need the exact Foireann ID and new profiles need an export check and an officer’s confirmation. A profile created by upload is not a Foireann login: if an adult needs to use Foireann, a Foireann administrator uses Foireann’s invitation or linking process. Children never get their own login; their profile is managed through a parent’s or guardian’s Foireann family account. Club dues and Foireann registration are separate: Foireann’s bulk upload adds a general package with no amount, so it is not a record of what anyone paid. Monthly payments: each month tick Mark paid for monthly payers whose payment shows on the bank statement. Ticks are kept for 13 months. Download history keeps only which app records went in each file (no names or dates of birth) and is deleted after six months. Every change and download is recorded in Audit History. New members to add on the Foireann website: while new profiles aren’t in the upload file, people with no Foireann record whom the club has confirmed (after the export check showed no match) are listed under New members to add on Foireann, with their name, date of birth, gender and membership type. As Foireann Support described (29 Oct 2026), the Registrar adds each one on Foireann (Membership → Members → Add member, then on their new profile Member actions → Register with the membership type shown) and enters the 7-digit membership number Foireann gives them, then presses Added and registered. They then show as registered this season, and next season they renew in the upload file like everyone else.
Message groups and privacy
Admin & Executive is for the Technical Administrator and approved Executive. Committee includes approved Committee and Executive members. Coaches & Managers is an announcement group: managers and coaches can read, while Executive members publish. Coaches & Managers Chat is a two-way group for the same people, where every coach, manager and Executive member can post. The Committee group is two-way: every Committee Member and Executive member can post and reply. Club Members is read by annual members, life members and Executive members; Executive members publish. Team groups remain limited to authorised team access, and assigned managers/coaches can send to their teams. Old News permission does not bypass these rules. Notifications use only the group name and generic wording and are checked again before delivery and when opened.
Do not post medical details, safeguarding concerns or complaints about named people in general team, Committee or club groups. Use the club’s established confidential process and an authorised club officer. The app does not create a new confidential reporting channel. Screenshots, downloads and notifications already delivered to a device cannot be recalled, and authorised database or recovery operators may be able to read retained message records.
Suspension and access removal
Removing one role, team assignment or annual membership removes only that access and keeps other valid access. Role and team permissions are checked on every protected request, so an already-open session does not keep revoked access. Approved Executive members may suspend an ordinary account, which blocks app access and future device notifications without cancelling life membership or deleting history. Protected Technical Administrator accounts cannot be suspended through ordinary club controls. Sign out on the website disables this device’s saved notification subscription before ending the session where the browser permits it.
Roles, Alerts and Files
Notification Inbox: each notification shows Unread (highlighted) or Read (grey) at the top right. Open takes you straight to what it is about (the message, poll, fixture or event) and marks it read; Mark read clears it without opening it. Access requests show Review request instead. Notifications are kept as a record and removed automatically after 12 months. Alerts at busy times: phone alerts are sent in small batches, so after a whole-club announcement some phones may get theirs a minute or a few minutes later. If a phone can’t be reached, the app tries again automatically. Reviewers get one phone alert for a burst of requests (“Several requests are waiting for your approval”) instead of one per request; the Notification Inbox still lists each one. Scheduled messages always get their alerts, even if the server is interrupted. Website visitors (Technical Administrators): Club Management → Website visitors shows how many people visited the club website in the last 7 and 30 days, the most viewed pages and where visitors came from (for example Facebook or Google). It is counted by Cloudflare Web Analytics without cookies and shows totals only, never individual people. Problems (Technical Administrators): Club Management → Problems lists things that went wrong behind the scenes, such as alerts that could not be sent or a screen error on someone’s phone. Repeats are counted rather than listed again, no personal details are kept, and Mark all as dealt with clears the list. Keeping information: club app activity is deleted automatically 12 months after it happened (notifications, messages with their photos and files, polls, volunteer rotas, Club Diary events with availability and attendance, finished scheduled messages, and phones not used for 12 months). A message under an open report is kept until it is reviewed. Club records such as membership, roles, approvals, bookings, privacy requests and audit logs are kept longer where required. The bell at the top of every screen shows how many alerts you haven’t read; tap it to open the Notification Inbox. Your profile photo also shows in the circle at the top right of every screen; without one, the circle shows your initials. Privacy requests: when a member sends a privacy (data-rights) request, every Technical Administrator gets a “New privacy request – tap to review” alert with no name on the lock screen. Tapping it opens Profile & Settings → Privacy & data rights with the administrator queue open at that request. To make a privacy request, open Profile & Settings → Privacy & data rights and tap Make a privacy request. Reply within one month and record the outcome with a note. Pending role requests do not grant access. Pending Approvals shows the applicant name. Approve selected: when several requests are waiting, tick them and press Approve selected to approve them together; each person still gets their own alert. Executive roles need a title, so approve those one at a time. Executive approvals require an active Executive title; rejected requests do not require a title. Club Management → People & Roles shows saved titles and term dates. An authorised reviewer can use Change Executive title with a reason to update a title without changing the term dates or other roles. Validation errors explain what needs correcting. Approvals appear only for authorised reviewers and their permitted teams. A Facility Booker checks booking requests, records an approval or decline with a required message, and manually updates Google Calendar after approval. The Chairperson, Vice Chairperson or Secretary can grant or revoke this narrow permission; it cannot be requested and does not grant Technical Administrator, team, message or other club access. Technical Administrators do not receive it automatically. Shared PDFs, text files, JPG, PNG and WebP images are checked when uploaded and are available only while your current account and channel permissions allow them. A copied file address does not bypass sign-in or a later permission removal. In-app notices remain in the Notification Inbox; phone and browser notification controls are under Profile & Settings. The website checks both device permission and a current registered subscription before reporting alerts enabled. On iPhone web, install from Safari to the Home Screen before enabling alerts. After sign-in, the installed iPhone and Android apps may show a Home invitation to turn on alerts; Not now hides it for 14 days. If alerts are blocked, a Settings reminder appears no more than once every 30 days. You can always change alerts in Profile & Settings and use Send test alert to my devices there to check delivery. Booking alerts include the practical booking and decision details, while current account and message permission are checked before delivery and again when an alert is opened.
Payments & Shop
Payments & Shop (in the menu, and on Home once the club switches it on) lists what you can pay for: underage registration fees, summer camps, match, session and monthly fees, paid events and tickets (for example the night at the races), the club shop and fundraising. Club membership is joined or renewed on Foireann, the GAA's official membership system; the Join or renew on Foireann button opens it. Choose an item and press Pay: Stripe's secure payment page opens, and the club never sees or stores your card details. Stripe pays the money straight into the club's bank account. Parents choose which of their approved children a registration or fee is for. A summer camp can book several children from the same family in one payment, priced by how many children are booked (for example 1 child £25, 2 children £30). Your payment, and any ticket code, appears on the item once Stripe confirms it, usually within a minute; you also get a notification. Family discounts: registration, summer camps, match and session fees and monthly fees can cover several children from the same family in one payment; tick each child, and if the club has set family prices (for example 1 child £40, 2 children £70) the lower family price is used. Monthly fees (for example monthly training subs): press Pay £X a month and Stripe takes the same amount from your card every month. You can stop it any time under Your monthly payments → Stop payments; payments already taken are not refunded. Paying in parts: where the club allows it, a registration or camp can be paid in 2 to 12 monthly payments instead of all at once (choose How to pay). The first part is paid straight away and the rest are taken monthly, stopping automatically after the last one. To stop paying in parts early, contact the club Treasurer. Missed payments: if a monthly payment doesn’t go through, you and the club’s finance officers get an alert, Stripe tries again automatically over the next few days, and Your monthly payments shows Payment missed with a Pay it now link. For finance officers and team managers: when setting up a payment you can add family prices, choose Monthly fee, or let people pay in parts. Manage → Monthly payments & paying in parts lists everyone’s plans, who is up to date and who has missed a payment, with Send reminder (once a day) and Stop payments. Monthly payments and paying in parts need the club’s Stripe card payments. If an app account is deleted, its monthly payments are stopped first. Taking payments in person (finance officers, and team managers for their own team’s payments): open Payments & Shop → Manage (on iPhone, For organisers) → Take a payment in person. Choose what it is for and how many. Show QR code for card makes a QR code; the payer scans it with their phone camera and pays by card on Stripe’s secure page, and your screen shows Paid (with any ticket code) once Stripe confirms it. Record cash or Record cheque saves the payment straight away with the payer’s name (needed for the club’s records) and gives a ticket code for events. Places and stock limits still apply. Monthly fees can’t be taken in person. Who has paid and the spreadsheet show how each payment was made (card online, card by QR code, cash or cheque) and who took it. The cash and cheques themselves go to the Treasurer as usual.
Who can set up payments: the Chairperson, Vice Chairperson, Secretary, Treasurer, Assistant Treasurer and Registrar can set up any payment, open or close it, see who has paid and download a spreadsheet. Team managers can set up paid events and match or session fees for their own teams and see who has paid for those. The Technical Administrator has no automatic access to club money. Ticket codes are checked in at the door under Manage → Ticket check-in (also in the iPhone app). Refunds are made in the club's Stripe account and show here automatically. Club Lotto stays on its own licensed service. Card payments go straight into the club’s own Stripe account (Payments & Shop → Manage → Card payments shows this), and each payment’s description starts with the club’s name and “order”, so the Treasurer can tell app payments apart from other payments in Stripe. Where the app is run as part of a group of clubs instead, setting up card payments works like this (Chairperson, Vice Chairperson, Secretary, Treasurer or Registrar): open Payments & Shop → Manage → Card payments and press Set up card payments. Stripe’s own secure pages open; add the club’s details, bank account and identity checks there (the app never sees them). The club gets its own Stripe account and login, linked to the app provider. Members can pay once Stripe has checked the account; Card payments then shows it as linked and ready. The club pays Stripe’s card fee on each payment; any app provider fee is shown there and on every payment in the club’s Stripe account. Public pages: in Payments & Shop → Manage → Public pages, an organiser can give an event, raffle, underage registration or summer camp its own web page with a photo or poster, venue, what it’s in aid of and a longer description, then copy the link to share on Facebook or WhatsApp. Public pages also appear in What’s On (/events) and on the club website. Anyone can buy event and raffle tickets on the page with just their name and email: no app account is needed. They pay on Stripe’s secure page, get a private ticket page with the ticket code (and an email copy when the club has email switched on), and show the code at the door; buyers appear in Who has paid marked “(club page)”, and their email is removed 90 days after the event. Registrations and camps on a public page show the details and ask people to sign in to the app to register their child. Club Lotto: if the club runs a weekly lotto, it is on an outside licensed lottery service; Payments & Shop has a Play the lotto button. Stripe does not allow lotteries, so the weekly lotto is never taken through the app. Fundraising raffles (one-off, for example a Christmas raffle): selling raffle tickets online is a lottery, so this stays switched off until the club records its council lottery registration (Manage → Fundraising raffles, finance officers only) and the app provider allows raffles. Never use it for the weekly lotto. Raffle buyers must confirm they are 16 or over; each buyer gets a ticket code for the draw. Opening Stripe: after pressing Pay or Set up card payments, Stripe’s page now opens straight away, without a brief error message first.
Support the club
Club Lotto remains available through its external service. Make a donation first shows the donation information screen, then Continue opens the club’s support page outside the app. The app does not collect card details, and a payment transaction has not been tested here.
Delete my app account
Read the Privacy Notice ↗ before requesting deletion. On the website, open Profile / Settings → Delete my app account. In the installed app, open Profile & Settings → Delete my app account. The option remains available before club approval and while club access is suspended. Review the consequences, sign in again with your email and password, tick the confirmation box, then use the clearly marked deletion button. Cancel and Back to settings remain available before submission. Acceptance immediately removes roles and directory visibility, stops app access and alerts, cancels future requests, and records the remaining cleanup work. An App Administrator completes permanent cleanup only after a verified private recovery backup is stored and cleanup is enabled; the club normally completes that work within 30 days. Profile/contact details, private photos and uploads are deleted; authored message text is replaced with a deletion notice. Minimal request, safeguarding, permission and club transaction history may be retained for legal, safety or audit purposes, with identifying free text removed where practical. A guardian deletion removes only that guardian link: it never deletes a child profile or another guardian’s access, and a child with no remaining guardian enters restricted administrator review. A protected or final Club App Administrator must first complete an authorised handover. Separate club membership and GAA/Foireann records are not cancelled.
Release recovery for administrators
Club Management gives App Administrators a password-protected D1 recovery download and a separate pending-deletion queue. The recovery file contains private club data and must be stored securely, never in GitHub or chat. A saved Site version or Git tag restores only the matching website/backend source and deployment package. It does not restore or reverse live member records, private files, sign-in accounts, runtime secrets or completed account deletion. Before a rollback, confirm the currently live Site version and database compatibility; do not assume an older checkpoint is still current. Rebuilding an older iOS checkpoint also requires a new Apple build number. The restricted administrator runbook records the verified release identifiers, configuration boundaries and known recovery limitations.
Website and iPhone app
Your details: to change your phone number, address, date of birth or emergency contact on the website, open Profile / Settings → My Profile → Contact details, make the change and tap Save. Your name and email are your sign-in details; to change your email, ask a Club App Administrator. Help assistant: when switched on, signed-in members can type a question at the top of Help and get an answer taken from this guide. Answers are written by AI and can occasionally be wrong, so check the guide if anything seems off. Only your question is sent to the club’s AI provider (Anthropic); your name, teams and club information are not. Don’t include personal details in questions. Each member can ask up to 20 questions a day. People & Roles shows 60 people at a time on the website and in the app: search by name, or use Show more. The iPhone app has the same Club Management buttons as this website (People & Roles, Invitations, Teams, Executive titles, Important notices, Account Security and Message reports), plus My Children, profile photo and Privacy & data rights under Profile & Settings, using the same rules. Messages sent from the app alert the group in the same way, and the app also has photos and files, archive and delete, older messages, scheduled messages, diary events, volunteer rotas, changing a pending facility request, opening Club Resources, the My Team contact list for team managers, single-member annual or life membership, and photo moderation. End-of-year resets, member contact records and the recovery download stay on the website.
If your access is missing, contact a Club App Administrator. Children are shown without profile photographs.
